Inventory management.
What is in stock – and what it is worth.

Inventory management is the module in Saldora that keeps stock per item and warehouse and posts every movement to your accounting. A delivery note or invoice books the goods out, the purchase receipt books them in. Saldora values every stock level at moving average cost, and the nightly check compares the stock value with the balance of the inventory account.

How do goods get into the warehouse and out again?

Four stations: keep stock, deliver goods, receive goods – and reconcile the stock value with your accounting.

  1. 1

    Stock per item and warehouse

Under “Inventory” you see quantity, average price and value per item and warehouse, and at the top the stock value and the number of items below minimum stock. You create warehouses in the settings; Saldora sets up the “Main warehouse” the first time you open it. For items of the type “Goods” you switch on stock keeping.

  2. 2

Goods out via delivery note or invoice

On delivery, the delivery note books the goods out; per line item you choose the warehouse, with the item’s default warehouse suggested. The invoice for the delivery note does not book a second outflow; an invoice without a delivery note books it itself when issued. If a stock level would fall below zero, Saldora warns you beforehand.

  3. 3

Goods in from the purchase receipt

In the review editor of the supplier receipt you assign each goods line item to an item and a warehouse. If Saldora finds the supplier’s item number, the item is already selected as a “Suggestion”. On posting, each line item creates an inflow at cost price, posted to the inventory account instead of to expense.

  4. 4

    Valued and reconciled continuously

Every inflow adjusts the moving average price per item and warehouse, and outflows are valued at it. Saldora posts every movement in the accounting, by default to inventory account 1200 and cost of goods 4200. The nightly check compares the stock value with the balance of the inventory account and reports any discrepancy.

What do you get with Inventory management?

Four things that keep stock and accounting together.

  • Transfers and stocktakes

With a transfer, the value moves along; as a rule, no entry is created. In a stocktake you enter the counted quantity, and Saldora only posts the difference to the stock level.

  • Movements stay traceable

Movements can be neither changed nor deleted; a correction is always an offsetting movement. The link in the “Entry” column leads to the journal entry.

  • Minimum stock in view

You set the minimum stock on the item; it applies to the total of all warehouses. If stock falls below it, every warehouse of the item shows the note “below minimum stock”.

  • Negative stock by your rule

In the settings you decide whether an outflow beyond the stock level is allowed. If it is switched on, Saldora warns you and posts after confirmation; otherwise the outflow is rejected.

Frequently asked questions about Inventory management

The module that keeps stock per item and warehouse, values it at moving average cost and posts every movement in the accounting. Goods out and goods in arise from delivery notes, invoices and purchase receipts.

At moving average cost per item and warehouse. Every inflow adjusts it, and outflows are valued at it. The last outflow takes the remaining value with it so that no rounding remainders are left.

The inventory account (default 1200) for the stock of goods, the cost of goods account (default 4200) for outflows on delivery and invoice, and the stocktake difference account (default 4200). If 1200 and 4200 are missing from the chart of accounts, Saldora creates them the first time you open it.

As a stocktake or as an inflow with quantity and unit price. If the stock of goods is already on the inventory account, for instance from the balance carried forward, choose “Without entry” – otherwise it would appear twice on the balance sheet.

Under “Inventory”, in “Record movement” choose the type “Stocktake” and enter the counted quantity per item and warehouse. Saldora only posts the difference; if the quantity matches, no movement is created.

Movements cannot be changed or deleted. You undo manual inflows and outflows, stocktakes and transfers with “Undo” and a reason; Saldora records an offsetting movement and reverses the entry. You undo movements from documents via the document.

Saldora warns you before an outflow beyond the stock level. If you allow negative stock in the settings, you can still post after confirmation; otherwise the outflow is rejected.

No. Stock keeping is only available for items of the type “Goods”; services and digital items have none.
